ArdanShield WorkRoom / Product tour

Inside WorkRoom: hotel operations software in action

See the work. Follow it through. Explore the actual workspace your hotel team would use to report issues, coordinate departments and review the outcome.

Screens show ArdanShield House Hotel, an illustrative hotel with fictional people and records.

01 / Report

Start with a report someone can act on.

Give a fault a department, location and clear description. The issue-entry screen shows how the report begins, before it is saved or assigned.

The example asks for a loose handle to be inspected. A clear observation gives the receiving lead a useful starting point for triage.

The first useful step: make the observation clear.

02 / Own

One work record. A visible next action.

Follow ownership, checklist progress, updates and work history in the same record. A blocked job can retain its context while the team resolves the dependency.

This record concerns a loading-bay door closer. The owner can return to the observation, see previous updates and record what needs to happen next.

Ask: who owns the next step, and what is preventing progress?

03 / Coordinate

Make department requests explicit.

Give the receiving department a shared brief and an acceptance decision. Connect the request to the department’s work while keeping its internal coordination distinct.

The requesting team can follow the shared position without reconstructing a chain of private messages.

An accepted request has a named owner.

04 / Review

Finished is a claim. Reviewed is a decision.

The team submits its work; the appropriate reviewer checks the outcome. The screen shows a completed checklist on a conference-area cleaning task that is still awaiting manager review.

That distinction makes the remaining responsibility visible rather than hiding it behind a completed checklist.

Submission and completion review are separate steps.

05 / Handover

Give the next shift a place to pick up.

Find handover records in the work queue and follow the linked context. Clear ownership and current updates help the incoming lead understand what remains open.

Filter the queue to focus on handovers and open the record that needs attention.

Carry forward the work that still needs attention.

06 / Events

Plan the occupied window, not only the start time.

Bring setup, the event itself and clear-down into the operational picture. Department acknowledgements show the coordination recorded around the event.

Use this view to discuss who needs to prepare, respond to a change and confirm the handback.

A room can be needed long before guests arrive.

07 / Contractors

Keep the visit, evidence and open concerns together.

Follow contractor coordination with recorded progress, concerns and commercial context. A reported percentage is an update, not acceptance of the work.

Keep open concerns visible through submission and hotel acceptance, with supporting evidence linked to the work.

Reported progress still needs an appropriate handback decision.

08 / Rota

See the people planned around the work.

Review planned shifts by period and department alongside the hotel’s operational commitments. The period view helps department leads discuss shared support and shift responsibilities.

Bring coverage questions into the planning conversation before the next busy period.

Check coverage, shared support and handover responsibilities.

09 / Knowledge

Give procedures a dependable home.

Help staff find the handbook content they need, with recorded versions and review information. Managers can distinguish current material from work still being prepared.

Your hotel supplies and approves its operating standards, so the team has a dependable reference for its own ways of working.

Find the current procedure before the next question becomes a delay.

10 / Setup

Start with the shape of your hotel.

Prepare departments, staff access, reporting relationships, practice work and supporting records through the hotel setup area.

Configuration and a small evaluation scope help the team establish who can see, own and review work before extending access.

A clear operating structure is part of the setup.
